Once a patient books an appointment, a clinic usually needs to confirm the date, time and doctor, then handle any questions or requests to reschedule. Adding a WhatsApp confirmation to the appointment workflow lets the reception team notify the patient while arranging the booking.

How much does that cost each month? Under Meta’s standard USD rate card effective 1 October 2026, each Utility message successfully delivered to a Hong Kong number costs US$0.0260. Using US$1 = HK$7.8 as an illustrative conversion, that is approximately HK$0.20 per message. With one confirmation per appointment, 500 monthly appointments cost approximately HK$101.40 in message fees. Meta’s official rate cards

This guide calculates Meta communication fees only. HelloClinic subscription fees are excluded from the estimates. The Hong Kong dollar amounts are illustrative; actual payments depend on your account’s billing currency, your card’s exchange rate and applicable charges.

Who charges for WhatsApp messages?

When using WhatsApp appointment notifications with HelloClinic, the clinic adds its credit card directly to Meta, and Meta charges the message fees. HelloClinic does not charge an additional appointment reminder fee or add a markup to Meta’s message charges.

HelloClinic’s subscription includes WhatsApp reminders, and part-time doctors do not incur an additional charge. Whichever doctor an appointment is booked with, Meta message fees depend on the number of messages successfully delivered and the applicable rate.

To estimate the monthly cost of appointment notifications, start with the number of appointments and the number of messages sent for each appointment, then apply the relevant message category. The baseline throughout this guide is one confirmation message per appointment.

WhatsApp charges per successfully delivered message

Meta introduced per-message pricing on 1 July 2025. Three factors matter when estimating your bill. Meta’s official pricing explanation

  • Successful delivery: Meta charges when a message is delivered, rather than simply when your clinic attempts to send it.
  • Message category: Appointment confirmations, promotions and ordinary customer service replies may fall into different categories.
  • The recipient’s calling code: Rates follow the market associated with the recipient’s WhatsApp number. A patient visiting a Hong Kong clinic may still use an overseas number with a different rate.

Appointment volume is therefore a starting point for estimating confirmations, rather than a count of every WhatsApp message your clinic sends. Additional rescheduling notifications, patient replies from your team and promotions should be calculated using their actual volumes.

How much does one appointment confirmation cost in Hong Kong?

The following standard USD rates apply to the Hong Kong market from 1 October 2026. Utility is the category most relevant to ordinary appointment confirmations. The free allowance for Service messages is explained separately below. Meta’s official rate cards

CategoryTypical clinic useUSD per messageIllustrative HKD per message
UtilityConfirming or updating an existing appointmentUS$0.0260Approx. HK$0.20
MarketingPromotions or offersUS$0.0732Approx. HK$0.57
AuthenticationVerification codesUS$0.0260Approx. HK$0.20
ServiceOrdinary non-template replies after the free allowanceUS$0.0260Approx. HK$0.20

All HKD amounts use US$1 = HK$7.8 as an illustrative conversion and are rounded for display. The unrounded conversion for one Utility message is HK$0.2028, which is used in the monthly estimates below.

A message that only confirms an existing appointment could read:

Hello, your appointment is confirmed for 10 a.m. on 14 October. If you need to reschedule, please reply to this message.

A notification directly related to an existing booking, without promotional content, will generally fit the Utility category. Adding an offer or promotion to the same message may result in a Marketing classification. Meta’s review and classification determine the final template category. Meta’s template category guidelines

What is the message cost for 500 appointments a month?

This example assumes:

  • One appointment confirmation is sent for each booking, and every confirmation is successfully delivered.
  • All recipients use Hong Kong calling codes, and all confirmations are Utility messages.
  • Standard rates apply, without free entry point benefits or volume discounts.
  • Only these confirmations are included. Other service replies, rescheduling notifications, promotions and card-related charges are excluded.

The calculation is:

500 appointments × 1 confirmation × US$0.0260 = US$13.00
US$13.00 × HK$7.8 = HK$101.40 per month

The same assumptions give the following estimates at different appointment volumes:

Monthly appointmentsConfirmation messagesMeta fees in USDIllustrative HKD budget
200200US$5.20HK$40.56
500500US$13.00HK$101.40
1,0001,000US$26.00HK$202.80

If your clinic sends separate rescheduling or other notifications later, add their actual successfully delivered volumes and applicable categories to the budget. This will give you an estimate that is closer to the usage shown on your bill.

Does a patient’s request to reschedule create another charge?

Meta does not charge for messages that patients send to your clinic. If your team replies, for example to confirm a rescheduling request or answer a question about a visit, ordinary non-template replies must be sent within the 24-hour customer service window opened by the patient’s message. Meta’s official pricing explanation

From 1 October 2026, each business phone number receives 1,000 free Service messages per month. Messages above that allowance are charged at the applicable market rate, and unused free messages do not carry over to the following month. This allowance applies to Service messages only; it cannot offset Utility appointment confirmations. Meta’s monthly free Service message rules

For example, suppose one business phone number successfully delivers 1,500 ordinary Service replies in a month, all to Hong Kong numbers and without any other free benefits:

1,500 replies − 1,000 free messages = 500 chargeable replies
500 × US$0.0260 = US$13.00, or an illustrative HK$101.40

Keep appointment confirmations, ordinary service replies and promotions separate in your calculations. A reply sent within 24 hours is not automatically free: from 1 October 2026, Utility messages within the customer service window are no longer generally free either. How does HelloClinic connect appointments with WhatsApp notifications?

HelloClinic brings appointment management and patient communication into the same system. The New Appointment form includes a WhatsApp Notification option, so the reception team can handle the notification while arranging the appointment date, time and doctor.

HelloClinic’s WhatsApp and clinic management features include:

  • WhatsApp reminders: Support for your clinic’s appointment notification workflow.
  • A WhatsApp inbox: A shared place to handle patient enquiries and replies.
  • Broadcast marketing: Plan promotional message usage separately from appointment notifications.

If your clinic also uses features involving HelloClinic Credits, such as an AI WhatsApp assistant, those system credits should be understood separately from Meta message fees. The examples in this article cover Meta fees for ordinary communication; AI usage and HelloClinic subscription fees are excluded.

How can a clinic manage appointment notification volume?

Start with one confirmation per appointment

Use one confirmation as the baseline workflow, then add rescheduling notifications when needed. This makes it easier to reconcile monthly appointment volume with notification usage.

Include the date, time and rescheduling instructions in one message

A confirmation should give the patient the information they need in a single message. Avoid splitting the same appointment details across repeated notifications, and review the workflow for duplicate sends triggered by the same event.

Keep appointment notices and promotions separate

When you need to confirm an appointment, make the message a clear confirmation. Plan promotions under the relevant category and budget. Meta still reviews and determines each template’s final classification.

Reconcile delivered messages with the bill

Checking the Delivered status and Meta’s billing records provides a clearer view of charges than counting send attempts alone. Your clinic can also track missed appointments and the time reception staff spend on patient communication to assess whether the workflow fits daily operations.

Estimate your WhatsApp budget from your clinic’s appointment volume

Start with monthly appointments multiplied by one confirmation per appointment, then add service replies, rescheduling notifications and promotions as needed. This gives your team a clearer monthly communication budget.

HelloClinic offers a 14-day trial with access to all features, so your clinic can assess its appointment and patient communication workflows. To enable chargeable WhatsApp messages, your clinic still needs to set up a payment method with Meta. Meta collects those message fees directly.
